Wait Lists for Staff
Support students when classes are full.
A wait list allows eligible students to join a queue for a course that has reached its enrollment capacity. If a seat becomes available, students on the wait list may be enrolled according to wait list rules and their position in the queue.
When assisting students, encourage them to:
- Review course prerequisites and enrollment requirements before joining a wait list.
- Regularly monitor their university email and UAccess Student account for enrollment updates.
- Check for potential schedule conflicts or other enrollment issues that could prevent successful enrollment.
- Maintain alternative course options in case a seat does not become available.
Important:
- Wait lists are not available for all classes. For classes with an established wait list, eligible students may join the queue once enrollment capacity has been reached
- Placement on a wait list does not guarantee enrollment. Students should work with their academic support network and consider backup course selections to remain on track for degree completion.
Frequently Asked Questions - Wait Lists for Staff
Once a class section reaches its enrollment capacity, its status changes from Active to Closed. If the section has a wait list, the Closed status remains in place and the system will begin enrolling students from the wait list as seats become available. When enabled, the Auto Enrollment processes enrollment in wait list order, starting with position #1, and continues down the list if no errors or conflicts occur.
The wait list process runs every evening. Students will be automatically enrolled if the “Auto Enroll from Waitlist” option is enabled.
Time conflicts: Students cannot be enrolled from a wait list if the meeting times of the new class conflict with another class on their schedule. If the student would like to enroll in the wait‑listed class instead, they must use the SWAP feature. UAccess will automatically enroll them in the new class when a seat becomes available.
Same-course enrollment (current term): Student cannot be enrolled in two sections of the same course in the same session. If they are already enrolled in one section, they will be skipped for another unless they use SWAP.
Repeated class: If a student is attempting to repeat a course, they may be skipped if they are not eligible or need additional approval. The Repeating a Course & Grading for Repeated Courses policy may limit enrollment.
Maximum units: Students cannot be enrolled from a wait list if enrolling in the new class would cause them to exceed their maximum allowed number of units.
Holds: Students cannot be enrolled from a wait list if they have a hold that prevents enrollment, even if the hold is placed after they join the wait list.
