RCS Resource Guide: Cancelling Combined Class Sections and Removing Combinations

Class combinations are used to deliver a single instructional experience for multiple groups of students. Class sections are scheduled individually and then combined for the instructor to deliver what appears to be a single class. Types of class combinations include combined sections of the same course, cross-listed classes, and co-convened class sections.

Class combinations have the same meeting pattern and instructor. Only the department that owns the course has the authority to cancel the scheduled class sections. When cancelling combined class sections, first the sections are removed from the combination, the combination row is removed from the Combined Sections Table, lastly, all sections previously in the combination can be cancelled.

Ideally class setup takes place during Open Scheduling, but if changes to class setup are needed outside of Open Scheduling, then Closed Scheduling Section Request processes should be followed. 

New Update: System enhancements now apply logic-based rules to help ensure class section set-up data aligns with class scheduling best practices, and Catalog and Academic Policy. These updates may change the user experience. Warning messages will provide guidance to help resolve issues, and specific changes to the process featured in this resource guide are outlined below
Checking the catalog

Step 1: It is recommended that before cancelling a previously combined course to navigate to the Course Catalog in UA Schedule of Classes and identify if the course has multiple offerings or components. If these exist, they will also need to be cancelled. 

Search for the course to be uncombined by entering the Term, Subject and Catalog Nbr and click Search. It is important to confirm class ownership of combined sections, as only the primary owner of the course (offering 1) is permitted to cancel.  

Step 2: Select the Components tab and review the number of Course Offerings and review the number of Course Components; all course offerings and components will also require cancellation (the course owner appears as the first course offering).

Removing a combination

Step 1: Navigate to the Maintain Schedule of Classes tile and enter the Term, Subject and Catalog Nbr and click Search

Step 2: On the Enrollment Cntrl tab, use the Combined Section hyperlink to retrieve the Combined Sections ID number. (note this number as it is needed to cancel the combination)

Step 3: Once you have navigated through the Combined Sections hyperlink and have found the Combined Section ID number.

 

Step 4: Use the Return to go to the previous screen.

Step 5: Navigate to the Identify Combined Sections tile, execute a search for the combination to be removed using the term data, session, and the Combined Sections ID number for the class section. Select Search.

Step 6: On the Identify Combined Sections tab, note the Class Nbr or Section (this data can be used to search for the section that will be cancelled). Use the minus button to delete all class sections in the combination.

Go to View Combined Sections Table button.

Step 7: On the Combined Sections Table use the keyboard commands ctrl + f search for the Combined Section ID number (noted from step 3). Use the minus (-) button to delete the combination section id row and select Save.

The combination is now removed from the Combined Sections Table. The remaining steps to cancel the previously combined sections align with the standard cancellation process.

Step 1: Navigate to the Maintain Schedule of Classes tile and use the Class Number from Step 6 to search for the class section that needs to be cancelled. (You can also enter the Term, Subject, and Catalog Number and locate the section that was previously combined). 

Step 2: Select the Enrollment Cntrl tab. Use the *Class Status drop down menu to select the Cancelled Section option. 

Step 3: Select Save. (Please note, all sections in a combination that are Cross listed at the catalog level require cancellations).

If incorrect action is taken, a logic-based rule will activate and prevent the changes from saving. A pop-up warning message (below) will then provide directions for the next steps to resolve the issue.
