Incomplete Grade Information

Award of Incomplete Grade 

The grade of Incomplete (I ) may be awarded only at the end of a term when all but a minor portion of the course work has been satisfactorily completed and the student is unable to finish due to extenuating circumstances. The  I  grade is awarded if it would be possible for the student to earn a passing grade once the remaining coursework is completed, per instructor determination.  


Incomplete Grade Process

When an Incomplete (I) grade is assigned, the instructor will include details of the work needed to resolve the grade directly on the Incomplete (I) grade “write-in” section of the UAccess grade roster. These details must be included for the final grade roster to be submitted. This will contain the following details: 
  • Date the student last attended class
  • Grade the student earned as of the last date of their attendance
  • Remaining coursework
    • Listing of all remaining assignments, classwork, and any other tasks needed to finish the course, so the student understands specifically what they need to do to earn their final grade. 
The student will receive an email confirming this information for their Incomplete grade. After the student completes the remaining coursework, the instructor will assign the appropriate grade.

Requesting Extension for Incomplete Grade

Students who have extenuating circumstances and cannot complete incomplete coursework by the original deadline may request to extend the deadline. If the incomplete grade is not removed by the instructor within one year (the last day of finals one year later), the I grade will convert to a failing grade. Undergraduate Courses 

  • The one-year limit may be extended for one additional year if, prior to converting to an E, the extension is approved by the instructor and the dean of the college in which the student is registered. 
  • Once the I has converted to an E, a one-year extension will only be considered for an undergraduate course if the student submits an appeal to the University General Petition Committee. 
  • A request for an extension of time beyond 2 academic years of the original course enrollment requires approval by the General Petition Committee. 

Graduate Courses 

  • The one-year extension must be approved by the instructor and Graduate College dean. This extension requires the instructor and dean's signature on a Extension of Incomplete Coursework form. Notification of the dean's approval or denial is to be provided to the student by the dean's office. A copy of the approved or denied Petition must then be forwarded from the dean's office to the Office of the Registrar, Administration 210, for appropriate processing. 
  • For courses taken for graduate credit, an extension beyond 2 academic years may be considered only by the Graduate College. 

Instructions for Completing the Extension Request

Step 1: Student completes the request for Petition for Extension of Coursework for an Incomplete Course.

Step 2: Student submits the request to the class instructor for each class an extension is being requested in.

Step 3: If supported, the instructor signs the form and returns to the student.

Step 4: Student signs form and submits form to College/Academic Units Dean for review and approval. 

Step 5: College/Academic Unit Dean reviews and submits form to the Office of the Registrar.
