Resource Guide: Placing Exceptions to Support Multiple Degree Completion

This resource guide outlines how to place exceptions on an advisement report for students who are active in two degrees (concurrent or sequential) and require 18 unique units for each degree. Exceptions are managed by advisors in a student's academic unit. HOW TO PLACE AN EXCEPTION

Step 1: A student pursuing multiple (two or more) degrees is required to complete 18 unique University units toward each degree.  

These units will be reported on the ADVIP in the R1714 section:

For each degree, the student will be assigned a unique line. Advisors will need to use exceptions to place courses into the appropriate line.

Step 2: Click the Substitute/Exclude line to begin placing the exception.  The first line (10) should correspond to the lowest Student Career Nbr on the student’s record. 

This can be validated on the Academics Tab in UAccess.

Step 3: Advisors will use the following standard language when placing exceptions into R17174.  This will ensure smooth review by Graduation Services for conferral:

•The Description should refer to the degree type (BS) - then "18 unique units"

•The Long Description should refer to the specific degree using the plan code which should match the student’s first degree. The first degree on the student's record is usually Career Number 0.

•Because this is a university requirement, leave the Program/Plan/Subplan areas blank.  

•Ensure the student ID is correct in the Selection Data field.

Then, click the Create Exception link. 

It will look like this when completed:

Step 4: The Course Source should be set to Enrollment

Use the search button to find current/IP enrollment from the student's record.

Use the Add button to add it to the exception. This action will open a new screen.

Step 5: Once the course information populates, click OK to save.

Refresh the advisement report to see the updated data (next slide)

An exception will have to be placed on a course-by-course basis until 18 units are reflected in each unique degree

Courses used in this section do not count "against" the multiple use policy

Exceptions should be placed in a timely manner (i.e. not all during the student's last term) so that the student has an accurate understanding of remaining requirements

Note: As this process is for a single course, it will need to be repeated until the line reaches 18 total university units, and is satisfied.
