RCS Resource Guide: Requesting a Collaborative Learning Space (CLS)

This resource guide shows how to request a Collaborative Learning Space during Open Scheduling in the Schedule of Classes; please also work with instructors to ensure their completion of the CLS Preferred Instructor application

Because CLS inventory is highly requested, the rooms are assigned in a lottery system. To enter the CLS lottery, the complete class section set-up is needed including an approved CLS preferred instructor, a complete meeting pattern, and 999-RMRQST with room characteristics 32 & 35 by the request deadline (July 1 & Dec 1) of each scheduling period. Ensuring the complete setup during the Open Scheduling period will increase the likelihood of being assigned a CLS. A Section Request can be used during Closed Scheduling to make any additional requests regarding CLS assignment.

Classrooms that are Departmentally Scheduled do not follow this process and are scheduled directly with the department.

New Update: System enhancements now apply logic-based rules to help ensure class section set-up data aligns with class scheduling best practices, and Catalog and Academic Policy. These updates may change the user experience. Warning messages will provide guidance to help resolve issues, and specific changes to the process featured in this resource guide are outlined below.
How to request a collaborative learning space

Step 1: In the Maintain Schedule of Classes tile navigate to the Meeting tab and provide the following:  

  • Meeting Pattern: Both the Facility ID 999-RMRQST and the days and times must be included to process the request.
  • Instructors For Meeting Pattern: at least one of the listed instructors is a CLS-preferred instructor.
  • Room Characteristics: 
    •    32 for a Centrally Scheduled Classroom 
    •    35 for a Collaborative Learning Space

Step 2: Set the enrollment capacity in the Maintain Schedule of Classes Enrollment Cntrl tab.


Enrollment Control: set the Requested Room Capacity and Enrollment Capacity to match. Note: inflating the requested room capacity limits room options.

Note: If incomplete or mismatched class section set-up data is entered, a logic-based rule will activate and either auto-correct class data or request further review.
